What we use and why

When you use the quote tool, you enter collection and delivery postcodes, a service choice, item details and any optional collection time, loading needs or answer to how you found us. The tool uses the job details to show an indicative price range or invite a personal quote. If you choose to tell us how you found us, that answer is included in the message you prepare and helps us understand where enquiries come from. The postcodes are sent from your browser to Postcodes.io to look up approximate locations. The other job details stay in your browser until you choose to send a message.

If you contact us through WhatsApp or email, we receive the details in your message and your phone number or email address. If you book a job, we may also need names, full addresses, access instructions, payment and invoice details to arrange and record the delivery. Please do not put sensitive personal information into the item description.

We use this information to respond to your enquiry, confirm a price and availability, carry out a delivery, handle queries and maintain business records. For an individual customer, this is generally necessary to take steps you request before a contract or to perform it. For a company enquiry involving a staff contact, our legitimate interest is responding to that business request and managing the service. We keep required accounting records to meet legal obligations. We do not use quote enquiries for unrelated marketing.

Services involved

This site is hosted by ChatGPT Sites. It uses Postcodes.io for postcode lookup and Google Fonts for page typography. Messages you choose to send are handled through WhatsApp (Meta) or Google Workspace email, depending on the option you select. If you follow links to Google or Facebook, their own privacy policies apply. These providers may process information outside the UK under their applicable data protection arrangements. Contact us if you need more detail about a provider we use.

We have not added advertising pixels or analytics tracking to this site. The hosting service may use technology necessary to deliver and protect the website. If we add non-essential tracking later, we will update this notice and obtain any consent required.

How long we keep information

We aim to remove unbooked quote conversations within 12 months of the last contact. For completed jobs, we keep invoices and the records needed to support our tax returns for at least the period required by HMRC—normally five years after the 31 January filing deadline for the relevant tax year—and review them for deletion afterwards. We may keep information longer where needed for an unresolved dispute or another legal requirement. The quote page itself does not store a customer database.

Your choices and rights

You can ask us for access to your personal information, to correct it, or to delete or restrict it where the law allows. You may also have a right to portability. Email info@surreysamedaycouriers.com with your request. If you are unhappy with our response, you can complain to the Information Commissioner’s Office (ICO).

Your right to object: where we rely on legitimate interests, you can object to that use by emailing us.

The website's price range is automated but is only an estimate. A person checks the job and confirms availability and the final price before a booking is agreed.
